Our standard terms and conditions for grants

We have a set of standard terms and conditions which explain what we expect from you and what you can expect from us, if we approve your application and give you a grant.

We hope that our terms and conditions are clear and easy to understand, but if you are not sure about something, please email Emily Hopkins on grants@moneyadvicetrust.org or phone her on 020 7653 9734.

If you accept the grant we offer you, you must keep to the terms and conditions below, as well as conditions (if any) in the offer letter we send you. By signing the offer letter, you will be agreeing to keep to these terms and conditions and any in your offer letter.

If you do not think you are able to meet these terms and conditions, or any of the conditions in your offer letter, you should ask us for advice before you accept the grant.

Restrictions on how you may use the grant

You can only use the grant for the purposes you told us when you applied.

You must carry out your work within the agreed timescales, and you must tell us about any differences in the work paid for by the grant as soon as you know about it.

You must not use the grant to pay for any party political activities. 

Monitoring and evaluation targets

We will set appropriate monitoring and evaluation targets in your offer letter and will include specific areas we would like you to report on in your final evaluation report. We expect you to send us your final evaluation report within two months of finishing your work, unless we have agreed differently in your offer letter.

You must tell us about the progress of your work by the dates we give you in your offer letter. This includes information about agreed targets, monitoring arrangements and performance.

If we ask you to, you must allow us to come to your management, trustee or steering group meetings and see papers and minutes for the work you are using the grant to pay for.

You must keep accurate and detailed records of how you have spent the grant, and you must give us these records with the evaluation report when you have finished your work. We must also be able to inspect these records at any point during your work.

In certain cases, we will award grants for more than one year and we will use the final evaluation report to monitor and evaluate the overall progress of the project. You can read more information on multi-year grants in the future grants section on the standard terms and conditions for grants.

Paying the grant

We will pay you the grant in line with the schedule in your offer letter. We will normally give you a one-off payment for small grants, and for larger grants we will make payments every three months.

Whether or not we can pay you the grant depends on if we reach our minimum fundraising target for the year. If we think we are not going to meet our target, we will tell you as soon possible.

If you carry out the work and come in below budget, you should return any leftover money to us straight away.

We will not increase your grant if you do not budget for everything you need or if you overspend.

Future grants

If your work is ongoing or is a project to test a new initiative and you need a grant each year to pay for the ongoing work, you should not assume that we will give you a grant each year, even if you make further applications. We call these types of grants ‘multi-year grants’.

If you need a multi-year grant, we will have a meeting with you at the end of the first year to review the progress of your work. For us to give you a multi-year grant, you need to send us an evaluation report. We will pass the evaluation report to our Trustee Board, and they will decide whether or not to approve the grant. It is not our policy to take away multi-year grants, but in exceptional circumstances, for example when the agreed targets are not met, we do have the right to do so.

We do not have to renew or continue to give you financial support after we have provided your grant.

Acknowledging the grant

In the year we give you the grant, you should mention it in your annual report and accounts.

You should also mention the grant in all of the publicity around your work, for example marketing materials such as leaflets and posters, as well as on your website, if appropriate. We must approve all of your publicity.

Ending the agreement

If you no longer want to receive the grant and you want to end our agreement, you may do this by giving us three months’ notice. You must tell us why you do not want to receive the grant and you must return to us any money that you have not already spent. (If we decide to stop paying you the grant, we must also give you three months’ notice and tell you our reasons for this. You will also have to return any money you have not spent.)

We have the right to not pay you the grant, or to ask you to repay the grant, if: 

  • you do not give us the monitoring and evaluation information we need straight away;
  • you give us any false information; 
  • you break these terms and conditions or those in your offer letter; 
  • you do not spend the grant on what you told us you would; or
  • your organisation becomes insolvent or goes into administration, receivership or liquidation and you have not already spent the grant.

We have the right to share information you give us with any relevant organisations, for example the Charity Commission (if this is appropriate).
